The Procurement & Logistics Coordinator is responsible for managing procurement coordination, logistics planning, inventory systems, and overall supply chain operations to ensure timely and efficient delivery of materials, equipment, and services required for program implementation. The role focuses on end-to-end supply chain execution, from sourcing and procurement coordination through to delivery at project sites, ensuring availability of materials aligned with construction schedules, while maintaining compliance with procurement procedures and operational efficiency.

Responsibilities

The Procurement Coordination duties include:

  • Coordinate procurement processes from requisition to delivery in line with organizational policies,
  • Adapt and implement organizational policies to align with local regulatory and operational requirements,
  • Interpret standard operating procedures (SOPs) and deliver training to local staff to ensure consistent understanding, compliance, and execution,
  • Source suppliers, obtain quotations, and support bid evaluation and selection processes,
  • Prepare and maintain procurement documentation, including RFQs, purchase orders, contracts, and delivery records,
  • Liaise with program and engineering teams to clarify specifications, quantities, and timelines.

The Logistics and Transport duties include:

  • Coordinate transport and delivery of materials, tools, and equipment to project sites,
  • Track shipments and resolve logistics delays or bottlenecks,
  • Support operational use of vehicles and other logistics arrangements for field delivery,
  • Coordinate and monitor fleet utilization for operational logistics, including vehicle scheduling, usage tracking, movement control, and support for timely delivery of materials and field operations.

The Warehouse and Inventory Management duties include:

  • Oversee receiving, storage, dispatch, and stock control of materials and equipment,
  • Maintain accurate inventory records and conduct periodic stock counts,
  • Ensure safe, organized, and efficient warehouse operations,
  • Monitor stock levels and support timely replenishment.

The Supply Chain Planning and Coordination duties include:

  • Support demand planning and forecasting in line with program workplans and bridge construction schedules,
  • Coordinate with engineering, program teams, contractors, and suppliers on material requirements,
  • Identify and help address supply chain risks that may affect timely delivery,
  • Support improvements in supply chain efficiency and performance.

The Compliance and Reporting duties include:

  • Ensure procurement and logistics activities comply with organizational policies and applicable regulations,
  • Maintain complete and audit-ready records,
  • Prepare regular updates on procurement, inventory, and delivery status,
  • Track key supply chain indicators such as lead times, stock availability, and delivery performance.

Qualifications and Experience

  • Bachelor’s degree in Supply Chain Management, Procurement, Logistics, Engineering, or a related field,
  • Minimum 3–5 years of relevant experience in procurement, logistics, or supply chain operations,
  • Experience in construction, infrastructure, or project-based environments is strongly preferred,
  • Active Membership with the Zambia Institute of Purchasing and Supply (ZIPS) is required,
  • ZAQA certified qualifications
