Job Description

The ideal candidate should be intelligent, discreet, detail-oriented, and capable of providing high-level administrative and executive support to the Chief Executive Officer. This role requires excellent coordination skills, professionalism, confidentiality, and the ability to work in a fast-paced environment. Position: Personal Assistant to the CEO Location: Lusaka, Zambia Start Date: Immediate Key Responsibilities Provide direct administrative and executive support to the CEO Manage the CEO’s calendar, appointments, meetings, and travel arrangements Prepare correspondence, reports, presentations, and other official documents Screen calls, emails, and visitors on behalf of the CEO Organize meetings, take minutes, and follow up on action points Coordinate internal and external communication for the CEO’s office Maintain confidential records, files, and sensitive information Track tasks, deadlines, and commitments to ensure timely execution Support the CEO in managing strategic and day-to-day operational matters Liaise with staff, clients, partners, and stakeholders in a professional manner Minimum Requirements Diploma or Degree in Business Administration, Office Management, Public Administration, Secretarial Studies, or a related field Proven experience in a similar role supporting senior management or executives Excellent written and verbal communication skills Strong organizational and time-management skills Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook Ability to multitask, prioritize, and work under pressure High level of integrity, professionalism, and confidentiality Strong attention to detail and problem-solving ability Added Advantage Experience working in a corporate or executive office environment Ability to prepare reports, meeting briefs, and professional correspondence Familiarity with office coordination, travel planning, and executive scheduling Personal Attributes Mature and professional Highly organized and dependable Presentable and confident Discreet and trustworthy Proactive and able to work with minimal supervision
