We are seeking a highly experienced, hands-on Admin & Stores Manager to join our operations in the remote and iconic South Luangwa National Park. This is a senior administrative role suited to a Zambian national with extensive experience in safari lodge or remote bush environments, a strong hospitality background, and excellent organisational and inventory management skills.

The successful candidate will oversee all administrative functions, stores and stock control systems, procurement, and provide operational support across hospitality and maintenance departments.

Key Responsibilities

  • Manage all day-to-day administrative functions for the camp/lodge.
  • Maintain accurate records, filing systems, reports, and operational documentation.
  • Support HR administration including staff records, leave tracking, and inductions.
  • Prepare monthly operational and management reports.
  • Assist with budgeting, cost control, and variance tracking.
  • Ensure administrative systems, policies, and procedures are consistently applied.

Stores, Inventory & Procurement

  • Full responsibility for stores management, including:
    • Food and beverage stock
    • Hospitality consumables
    • Maintenance items
    • Fuel and diesel
    • Workshop and vehicle parts
  • Implement, maintain, and improve stock control and inventory systems.
  • Conduct regular stock takes and reconcile physical stock with system records.
  • Monitor minimum and maximum stock levels to ensure uninterrupted operations.
  • Coordinate procurement, supplier communication, ordering, and deliveries.
  • Ensure correct storage, issuing, and recording of all inventory items.

Hospitality & Operational Support

  • Work closely with lodge management, kitchen, F&B, maintenance, and guiding teams.
  • Apply strong knowledge of hospitality systems, restaurant operations, and F&B controls.
  • Support efficient operations while maintaining high guest service standards.

Systems, Reporting & Compliance

  • Use Microsoft Excel extensively for stock tracking, reporting, and analysis.
  • Maintain accurate inventory, fuel usage, and cost control records.
  • Ensure compliance with internal procedures, safety standards, and audit requirements.
  • Identify inefficiencies and recommend system improvements suited to a remote environment.

Minimum Requirements

  • Zambian national (preference will be given to local candidates).
  • Minimum of 5 years’ experience in a remote bush, safari lodge, or similar environment.
  • Proven experience in:
    • Administration management
    • Stores and inventory control
    • Hospitality operations (strong food & beverage knowledge essential)
    • Experience managing maintenance items, fuel, diesel, and workshop parts.
  • Strong Microsoft Office skills, particularly Microsoft Excel.
  • Experience using inventory or stock management systems.
  • Ability to work independently in a remote location.
  • Strong organisational, analytical, and problem-solving skills.
  • High attention to detail and accountability.
  • Excellent communication and interpersonal skills.
  • At least two contactable references are mandatory.

Additional Information

This role is based in a remote bush location and requires adaptability, resilience, and a positive attitude to off-grid living.

Prior experience working in South Luangwa or similar remote conservation areas will be an advantage.
